Compulsory Forms

It is a requirement that the below information is submitted prior to the event, please read the below information carefully & submit the information relevant to which stand type you have;

Shell Scheme Stand Requirements

Shell Scheme Stands come with a fascia nameboard and standard carpet included in the package.

PLEASE NOTE – Any additional extras such as electrics, internet and furniture are the responsibility of the exhibitor and carry additional charges.

 

Please make sure you have completed the Company Profile section as this is the name that is displayed on your Fascia nameboard at the show. If you would like anything different please let us know ASAP by emailing us on operations.uk@fortem-international.com.

 

Shell Scheme Stands are also required to complete compulsory shell forms. It is strongly advised that you take out Public Liability Insurance as our company will not be liable should anything happen.

 

It is required that all Shell Scheme Stands return the below form prior to 18th August;

Space Only Stand Requirements

 

All contractors and exhibitors are required to provide the following information:

  • Compulsory Space Only Form
  • CDM Project Safety File, which must contain, but is not limited to:
    • Full technical stand plans, incorporating all dimensions, elevations and weight loadings. Please note that all height dimensions MUST include the floor platform.
    • Stand visuals where possible.
    • Non generic risk assessment.
    • Non generic method statement.
    • Copy of your Public Liability Insurance, in date for the full time period of the event.
    • Your Companies’ Health & Safety Policy Document and Statement.
    • Any other relevant information regarding any aspect of the design/construction phases.

Please send all the requested documentation directly to Ministry Protective at mitch@ministryprotective.com before the deadline for review.

Ministry Protective, our Health and Safety Consultants for the event, are available to help, and whilst stringent venue and H&S regulations and legislation must be followed, we will do our best to assist with any queries you may have.

All documents should be sent electronically. We no longer accept Fax or postal submissions.

The build for space only stands will commence at the time stated in the ‘Onsite Information’ section. Contractors should satisfy themselves that the positioning of the stand area is correct and, if necessary, conduct a site visit well in advance of the event. Any queries should be referred to the organisers as soon as possible before commencing construction.

Times are subject to change – please ensure any timings given as directed by Fortem International are adhered to.

Exhibitors and contractors’ attention are drawn to the tenancy build up and break down times, which are NOT flexible. All parties are required to ensure that all stands, regardless of design, can be completed within those times. You should therefore ensure that enough crew are allocated to the construction and dismantling, so as not to compromise safety, or the European Working Time Directive.


 

Insurance

ALL contractors and space only stand holders MUST hold valid Public & Products Liability Insurance, which covers them and indemnifies for all activity involving stand construction, operation, and deconstruction, at the event and in the country to which this information pertains. The liability is a compulsory minimum of £5 million GBP or the equivalent in another currency. If you are in doubt as to what your cover is, please contact your underwriter or broker for clarification. Please note we do not require your Employers Liability Insurance.

Bringing a Display Vehicle/Trailer? 

You must provide us with the following information on any VEHICLES / TRAILERS / MODULES you are planning to bring to the event;

The mandatory information required =

- Vehicle Type -

- Dimensions of Vehicle / Trailer / Module (HxWxD) -

- Registration of Vehicle / Delivery Vehicle -

- Fuel type / Tank size / Battery? -

- Contact Details of Driver –

- Image of vehicle -

Important information to adhere to =

- Your vehicle must not have no more than a quarter of a tank of fuel.

- The battery must be disconnected

Please provide us with this information as soon as possible, as failure to provide the required information will result in not being able to bring in the vehicle.

Also to be able to get your vehicle into the venue, you will need to set it up on the first build day; Sunday 28th September between 8AM & 10AM - Please confirm this is doable with your Customer Service Manager.

Contractor/Stand Builder Information

If you plan on having an external party to assist in building your stand, please ensure that you provide their contact details. If you will not have any external support please can you also state that so we are aware, and please provide a name and contact number for a team member that will be onsite during the build of your stand.
